    High School Diploma or the equivalent is required. In addition, Related Vocational Training plus a minimum of 2 years administrative or business experience is required

     

     

    Responsibilities for this Position

    The part time administrative assistant position is responsible for providing administrative support to senior managers and/or program/project managers, and their staff of close to 100 people. Duties include scheduling and facilitating meetings; making travel arrangements; preparing expense reports; and other ad hoc responsibilities which relieve the managers and their staff of administrative details allowing them to concentrate on other business activities. The administrative assistant is expected to demonstrate poise, initiative, trustworthiness, timeliness, precision, and adherence to confidentiality at all times.

    General Duties/Tasks/Behaviors:

     

    • Ability to sit at the front reception desk during core business hours
    • Prepare expense reports
    • Work on assignments of moderate difficulty and complexity requiring judgment and resolving issues
    • Enter, format, and proofread inputs into Excel spreadsheets, PowerPoint and Word documents
    • Obtain data from various sources, analyzes data and information, and prepares reports as needed
    • Communicate professionally and effectively with employees and customers and builds collaborative relationships
    • Work effectively with a geographically dispersed and frequently virtual team
    • Collaborate with others to improve processes and procedures
    • Anticipated 15-20 hours per week

     

    Project Support:

    • Assist with logistics of onsite meetings (conference room preparation, meal coordination, etc.)
    • Provide various administrative support to projects as needed

     

    Office Support:

    • Answer telephone and route calls
    • Greet visitors and insure that they register into the guest log and receive the appropriate visitor badge
    • Coordinate video and audio teleconferences; schedule and provide support for meetings including reserving meeting rooms; event preparation; and coordination with on-site facilities and IT staff
    • Order and maintain office, printer, and kitchen supplies
    • Maintain kitchen, conference rooms, printers, and common spaces
    • Coordinate shipping and receiving of packages and incoming and outgoing mail
    • Update the office visitor calendar as necessary

     

     Additional Responsibilities

    • Schedule phone and onsite interviews with candidates in support of local recruiting
    • Coordinate Outlook schedules of local interviewers
    • Work closely with local Talent Acquisition Recruiter and hiring managers to track status of candidates
    • Maintain recruiting spreadsheet with hiring managers to capture recruiting metrics
